The Institute of Solid State Physics, University of Latvia (ISSP UL) would like to announce an open position for a Project Administrator (fixed-term – 2 years, part-time, 0.5 workload).
We are looking for a Project Administrator for the Long-Term State Research Programme's Platform No. IVPP-EM-Inovācija-2024/1-0002 “Biomedical and Photonics Research Platform for the Creation of Innovative Products” (BioPhoT) to oversee and manage projects submitted by the ISSP UL. The administrator will ensure the smooth and high-quality implementation of the projects in compliance with all relevant requirements.
Main duties:
- Carry out ongoing administrative regulation, monitoring, control, and evaluation of ISSP UL projects, including financial flow supervision and deadline tracking, to ensure successful implementation in line with project goals, budgets, and quality standards;
- Monitor and facilitate the achievement of project objectives in the areas of finance, procurement, staff workload (FTE), and position management;
- Ensure project compliance with all applicable external and internal regulatory acts and requirements;
- Maintain professional communication and cooperation with project participants, partners, and supervising institutions, coordinating the preparation of required documentation and information;
- Prepare regular project progress reports, payment requests, and other planning and reporting documents (e.g. payment schedules, procurement plans) in accordance with implementation conditions and supervisory body requirements;
- Draft and coordinate amendments (to contracts or projects) with higher and supervising institutions
Requirements:
- Higher or first-level higher education and at least 1 year of relevant work experience;
- Experience in project administration and understanding of management, administration, and control of projects from various funding sources;
- Experience working in public administration or supervisory institutions will be considered an advantage;
- Compliance with the requirements of the Law on the State Language;
- Good command of foreign languages necessary for performing job duties;
- Ability to work in a team and organize task execution;
- Ability to proactively identify risks and implement management tools to mitigate them;
- Ability to make independent decisions and take responsibility;
- Excellent computer skills (MS Office programs).
